3.1 Attendance Data Accuracy

The Smart Attendance System records attendance based on RFID card taps, manual entries by authorised staff, and data received from connected devices. While the school and Ganat Infotech make every reasonable effort to ensure accuracy, attendance records may occasionally contain errors due to:

  • Hardware malfunctions or device connectivity issues
  • Network interruptions between RFID readers and the server
  • Missed or double card taps by students
  • Manual entry mistakes by authorised staff
  • Clock synchronisation differences between devices

Parents, guardians, and staff are encouraged to report discrepancies promptly through the school office, the attendance correction workflow in this platform, or the Grievance Redressal mechanism.

3.2 System Availability

The Platform is provided on an "as available" basis. The school and Ganat Infotech do not guarantee uninterrupted, error-free, or continuously available service. Service may be temporarily affected by:

  • Scheduled maintenance (typically outside school hours)
  • Unscheduled outages or technical failures
  • Internet connectivity issues at the school or user's end
  • Force majeure events (natural disasters, government orders, civil unrest)

Critical attendance decisions should not rely solely on this system without verification from the school administration.

3.3 WhatsApp Message Delivery

Attendance alert messages delivered via WhatsApp depend on Meta Platforms Inc.'s infrastructure and policies. The school and Ganat Infotech cannot guarantee:

  • Delivery timing — messages may be delayed due to Meta's servers, network conditions, or the recipient's phone being offline.
  • Read receipt accuracy — "delivered" and "read" indicators are controlled by WhatsApp, not by this platform.
  • Opt-in/opt-out processing — while the platform processes consent changes immediately, WhatsApp's delivery of the confirmation message depends on Meta's infrastructure.
  • Continued availability — Meta may change its WhatsApp Business API terms, pricing, or features at any time.

Parents who do not use WhatsApp or whose messages consistently fail to deliver should contact the school office directly for attendance information.

3.4 Not a Substitute for School Communication

This Platform supplements — but does not replace — direct communication between the school and parents/guardians/staff. Important matters including:

  • Student safety and emergencies
  • Disciplinary actions
  • Academic performance and progress reports
  • Fee payments and administrative matters
  • Parent-teacher meetings and school events

are communicated through the school's primary communication channels (circulars, email, phone calls, notice board), not solely through this Platform.

3.5 RFID Cards

RFID cards remain the property of the school. Attendance records generated from RFID taps reflect only the moment of card interaction with the reader device and do not constitute proof of:

  • The student's continuous presence throughout the school day
  • The student's participation in specific classes or activities
  • The student's physical location within the school premises

Lost, damaged, stolen, or shared cards may produce inaccurate or misleading records. The school is not responsible for attendance discrepancies arising from card misuse.

3.6 Third-Party Services

This Platform uses third-party services including:

  • Cloud hosting providers — for data storage and compute infrastructure (servers located in India)
  • WhatsApp Business API (Meta Platforms Inc.) — for attendance alert messaging
  • Email delivery services — for password resets and system notifications
  • SMS gateway providers — for OTP verification and fallback notifications (if enabled)

These services are governed by their own terms, privacy policies, and availability commitments. Ganat Infotech is not liable for service interruptions, data handling practices, or policy changes by third-party providers.

3.7 Limitation of Liability

To the maximum extent permitted by applicable Indian law, neither the school nor Ganat Infotech shall be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to the use of this Platform, including but not limited to:

  • Loss of data or inaccurate attendance records
  • Failed or delayed WhatsApp message delivery
  • System unavailability or service interruptions
  • Decisions made by school staff or parents based on data from this Platform
  • Unauthorised access resulting from the user's failure to protect their credentials

3.8 Changes to This Disclaimer

This disclaimer may be updated from time to time to reflect changes in the Platform, third-party services, or applicable law. Continued use of the Platform after changes constitutes acceptance. The "Last updated" date at the top reflects the most recent revision.
